Party Food Calculator

Estimate party food and non-alcoholic drink quantities from your guest mix and serving assumptions. Model a food budget or compare a different guest count using the same assumptions.

Use this calculator to estimate party food quantities and cost from your guest count, meal style, serving assumptions and budget inputs.

Serving needs vary by event length, guest mix, menu and appetite. Use the defaults as planning assumptions and adjust them for your event.

The dollar sign is generic: use one currency throughout. Event type is descriptive only. Food uses equivalent adult guests; non-alcoholic drinks use actual headcount. Whole servings round up, but costs use exact quantities. Budget and comparison modes share the entered cost assumptions; blank optional costs count as zero. Pizza and weight estimates are separate references and do not add costs or servings automatically.

Event details

Descriptive only. Event type does not change the quantity calculations.

Guest mix

Estimate a child as a fraction of an adult serving. Adjust for the age group and event.

Food serving assumptions

Starting assumptions — adjust for your event. Choosing another style updates these defaults until you edit a serving assumption.

Drink quantities use adults plus children, not equivalent food guests.

Optional estimates

General planning reference only; the entered quantity is interpreted in the selected unit without conversion.

Example: Casual Party

Static example only: 20 adults and 5 children with a 0.5 child-serving factor give 25 actual guests and 22.5 equivalent food guests. At 4 appetizers, 1 main, 2 sides and 1 dessert per equivalent guest, exact quantities are 90 appetizers, 22.5 mains, 45 sides and 22.5 desserts; plan for 90, 23, 45 and 23 whole servings. Three drinks per actual guest gives 75 drink servings. At $1.50 per appetizer, $8 per main, $2 per side, $2.50 per dessert and $1 per drink, costs are $135, $180, $90, $56.25 and $75. Base food cost is $536.25. A 10% allowance adds $53.63 (unrounded: $53.625), producing an estimated food budget of $589.88 and approximately $23.60 per actual guest. No fixed costs are included.

About this calculator

Interpret the food plan

Food planning depends on more than headcount. Event length, meal timing, menu variety and guest preferences can all affect consumption.

  • This calculator converts children into equivalent adult food servings using an adjustable factor while still calculating beverages from the actual number of guests.
  • Meal-style presets are starting assumptions — adjust for your event. After any serving assumption is edited, changing Meal Style preserves all edited serving assumptions until Reset Inputs.
  • Whole-serving quantities are rounded up for planning purposes, while cost calculations use the underlying unrounded quantity.

Budget and optional quantity references

This calculator provides a planning estimate and does not replace caterer or venue guidance.

  • The extra allowance applies to base per-serving food and beverage costs. Entered cake, supplies, delivery and other fixed costs are added afterward.
  • Guest comparison uses the same serving rates, child-serving factor, cost rates and allowance percentage. Fixed costs stay unchanged.
  • Optional food weight is a general planning reference only. Pizza slices and whole pizzas, and beverage containers, are separate references rather than extra servings or added budget costs.
  • All drink estimates are for non-alcoholic beverages. No quantity is universally sufficient.

Planning estimates only. This Tool does not provide dietary or medical advice, calculate allergies, recommend alcohol quantities, retrieve grocery or caterer prices, recommend vendors, create menus, manage guest lists or RSVPs, place orders or create shopping carts. No accounts, database or external APIs are used. Your inputs are not saved.
