Team Capacity Planner

Estimate whether your teams or role groups have enough productive capacity for current workload and projected growth.

Enter weekly workload and availability assumptions for each role, then compare current and projected capacity. Blank unused rows are ignored. Calculations run locally and inputs are not saved.

Plan capacity by team or role.

Global Planning Assumptions

Apply the same workload change to every team. Enter a negative percentage to model reduced workload.

Reserved capacity after productive availability. A 10% buffer means planning uses 90% of productive capacity. Leave blank for no buffer.

Team / Role 1

The share of paid time realistically available for the work being planned, after meetings, leave, administration and other non-delivery time.

Example: an operations team

Three people working 40 hours each at 80% availability provide 96 productive hours per week. A 10% buffer leaves 86.4 planning hours. An 80-hour workload uses 92.6% of that capacity, needs 2.78 FTE and leaves 6.4 hours available. With 25% workload growth, demand becomes 100 hours: a 13.6-hour shortfall and approximately 0.47 additional FTE.

About this calculator

How this planner calculates capacity

Gross weekly hours are headcount × hours per person. Productive capacity applies availability; planning capacity then applies the buffer. Utilization is workload ÷ planning capacity. Required FTE is workload ÷ planning hours per person.

  • Overall utilization uses total workload divided by total planning capacity, not an average of role percentages.
  • FTE totals sum the estimates calculated separately for each role. Spare capacity in one role may not cover a shortfall in another.
  • Working weeks per year is recorded as a planning assumption. These results are weekly; changing working weeks does not change the weekly formulas.
  • Zero denominators show N/A. Full utilization is not a target or a universal benchmark.

Capacity is not employee performance

Capacity planning is not the same as employee performance measurement.

  • A team operating below modeled capacity is not necessarily inefficient, and a team operating above modeled capacity may be temporarily absorbing peaks in demand.
  • This planner uses the workload, availability and buffer assumptions you enter. Actual staffing needs may also depend on skills, scheduling, service levels, workload variability and business priorities.

Frequently asked questions

Can utilization exceed 100%?

Yes. It means the workload entered exceeds modeled planning capacity. It is a scenario estimate, not an employee performance judgment.

Does additional FTE mean I need to hire?

No. FTE is a capacity equivalent based on each role’s assumptions. Work allocation, process changes, contractors, automation or staffing may be considered separately. Whole positions are an optional planning equivalent, not the only solution.

Are my inputs saved?

No. Calculations happen in your browser. This MVP does not save plans or connect to staffing, payroll or scheduling systems.

This is a planning estimate based on user-entered assumptions, not a staffing recommendation or performance measurement.
